Setup and Teardown
Setup is only available on the day of the show. Lunch will be provided for exhibitors. All exhibits must remain fully intact until the Exhibition has officially ended.
Exhibit Hall Setup: 1:00 pm – 3:00 pm
Exhibit Hall Teardown: 7:00 pm – 9:00 pm
Attendee Registration (Action Required)
Attendee registration opens in April.
The contacts listed in the MayYourShow system are for internal coordination purposes only and are not automatically registered to attend the show. All table/booth/suite attendees, speakers, and general attendees need to register on the Ticket Tailor site to attend. Each company may register for two exhibitor badges to get in early for setup. Everyone else from your company can register as an attendee.
Advanced registration is free. Registration will close on Friday, May 5th. Walk-ins will be charged $20.00 at the door. We can accept credit cards, cash, or Venmo – @ispedvc.
Table/Booth Number Change
The Symposium sold out. Due to increased demand, new tables were added to the floor plan. Therefore, some table/booth numbers have changed, but the Exhibitor’s physical location did not. There will be a large printed map with booth numbers and exhibitor names to reference when entering the Symposium. In addition, volunteers will be onsite to help exhibitors locate their exhibit space.

Badge Scanners and Attendee Lists
This show does not offer badge scanners, and are no QR codes on the badges. However, as the show grows, we hope to implement this technology in the future. ISPE DVC does not share the list of the attendees before or after the event.
Tables, Chairs, Wastebaskets, and Carpet
Exhibitors do not need to order anything extra beyond purchasing their table or booth. Booths come with an 8′ foot table, premium tables are 8′ feet, and standard tables are 6′ feet. Each table will be set with a black wide skirted tablecloth. Chairs will be easily accessible and visible during setup hours to bring to your table if needed. To reduce our environmental impact, individual wastebaskets are not provided or available to order. The stadium is carpeted, and exhibitors do not need to bring their own.
All 8’ premium tables and 10’ booths have electricity. All standard 6’ tables do not have electricity. Electricity cannot be added on with an additional fee due to the table’s location. Electricity will already be set up when you arrive, and you can hook up your own equipment without hiring labor.
Tabletop and booth graphics are not permitted to be double-sided. All tabletop displays should be confined to the table, with a height limit of 60” above the table. The maximum width of the display shall be 72”. It is solely within Management’s right to determine whether the character and/or attire of table/booth personnel of the Exhibitor is acceptable and in keeping with the best interests of other exhibitors and the Exhibition per the Terms & Conditions.
Career Fair Suite
Each company can bring one floor-standing banner or poster on an easel outside the suite door to promote their company. Companies can decorate and brand the inside of their suite however they wish. Companies may only use the suites for career fair-related activities. Private receptions or educational presentations are strictly prohibited in the career fair area.
Company Listing in MapYourShow
If you did not get a sponsored listing package, you still need to update your basic listing with information about your company. Exhibitors are responsible for uploading their logos, company descriptions, and documents in the MapYourShow directory. Login, select “Exhibitor Directory Listing,” and under Company Information, select “Edit Information.”
There is a .ppt file available that companies can use to promote attending the Symposium in their email signatures. There is also an InDesign file that can be edited to create your own graphics. A vector file of the ISPE DVC logo is not available for distribution.
You may need access to a Google account. You can download social media graphics here:
